Functions and Responsibilities

I. Functions:

The Student Affairs Department (SAD) is a supporting unit whose function is to advise the President on activities related to the Learner strategy and community service; educational and communication activity management; class monitor board management; organizing counseling, administrative support, and student management services; organizing and managing cultural, artistic, physical education, and sports activities for students; providing medical care for students, managers, lecturers, and staff of Nguyen Tat Thanh University (hereinafter referred to as the University); and supporting academic advising, alumni relations, and student academic clubs.

II. Tasks:

a) Serving as the focal unit for activities related to the Learner Strategy and Community Service.

– Participate in developing strategic development goals and plans for the Learner and community service sectors;
– Lead the organization of student support and care activities within the student affairs sector of the University;
– Act as the focal point and collaborate with relevant units to deploy activities concerning the Learner and community service sectors.

b) Advising the President on the management of educational and communication activities

– Formulate plans and organize educational and communication programs/activities for students regarding political ideology, ethics, lifestyle, legal dissemination and education, skill development and cultivation, aesthetic education, physical education, and school health care in accordance with the Regulations of the Ministry of Education and Training and University Regulations;
– Organize and manage the annual Civic Education Week for students following the guidelines of the Ministry of Education and Training and the University’s plans.

c) Managing class monitor board activities; organizing counseling, administrative support, and student management services

– Manage and coordinate activities related to the Class Monitor Board; inspect, monitor, and evaluate the performance and level of task completion of the class monitor board in accordance with University regulations; sign certificates for the class monitor board according to the President’s recognition decision for each academic year;
– Build student counseling and support channels at campuses and through the website, social media pages, email addresses, and hotlines;
– Verify the accuracy of information regarding students’ personal profiles, academic performance, and training activities; issue confirmations and print certificates related to students within the authority of the Student Affairs Department;
– Receive admission profiles, manage student records, and regularly update, store, and secure records in accordance with University and State regulations;
– Manage the issuance and distribution of student cards;
– Student inspection, monitoring, and evaluation work:
+ Monitor and evaluate learning awareness; organize the evaluation of students’ training results; classify and grade students at the end of each semester, academic year, and course in accordance with current regulations;
+ Evaluate and select emulation titles and reward forms for student collectives and individuals according to regulations;
+ Guide, inspect, and monitor the implementation of rules and regulations for students;
+ Monitor, advise on, and aggregate emulation, rewards, and disciplinary actions for students according to regulations.
– Residential and non-residential student management work:
+ Coordinate with the University’s Dormitory Service and Management Center to capture information and the status of residential students in the Dormitory according to regulations;
+ Manage non-residential student affairs in accordance with current regulations.
– School security and order assurance work:
+ Issue internal rules and regulations; formulate and implement programs and plans; report on the status and results of executing directives and guidance from local authorities and police forces regarding the assurance of school security, order, and safety, crime prevention, and social evils among students; and coordinate the implementation of measures to maintain school security and order within the scope of the university’s functions and duties;
+ Regularly monitor and capture political and ideological developments, as well as unusual behaviors or expressions of students, to take timely handling, management, and educational measures; coordinate with functional agencies to exchange and provide information to proactively prevent and deter individuals from instigating or enticing students to participate in activities that disrupt security and order, criminal acts, social evils, and other violations of law; cooperate to promptly detect, handle, and resolve cases related to school security and order, or incidents involving students violating the law as requested by competent authorities.
– Implement student regimes and policies:
+ Propagate, guide, and resolve State regimes and policies related to students according to regulations;
+ Advise on and execute procedures for students eligible for tuition fee exemptions and reductions according to regulations;
+ Advise on policy formulation, evaluate academic encouragement scholarships and other scholarships, and propose reward levels for valedictorians of the entrance exam and graduation valedictorians across the University’s blocks of disciplines;

d) Organizing and managing cultural, artistic, and physical education/sports activities for students

– Lead the organization of physical training, cultural, artistic, and sports activities for students;
– Coordinate with the Youth Union – Student Association to develop sports clubs, attracting large numbers of students to participate and train to improve sports and cultural achievements;
– Select outstanding teams, groups, and individuals to provide training and coaching for participation in city-level, ministry-level, and national competitions;

e) Providing medical care for students, managers, lecturers, and staff of Nguyen Tat Thanh University

– Organize medical staff to be on duty at the campuses to promptly handle cases of illness or accidents, and care for the health of students, managers, lecturers, and staff of the University;
– Deploy Health Insurance and Accident Insurance for all students across the University;
– Organize communication activities for disease prevention, environmental hygiene, and exchange sessions with psychological experts for students university-wide;
– Organize workshops and programs on sex education, health, and skills for healthy and wholesome living among students;
– Support the building of a school psychological counseling team to assist students with psychological issues, difficulties, and challenges during their learning and training process at the University.

f) Supporting academic advising, alumni relations, and student academic clubs

– Support academic advising work:
+ Update the roster as proposed by faculties, institutes, and centers to submit to the President for the formal recognition of academic advisors for classes by academic year; act as the focal point to aggregate information from units and University announcements to send monthly briefing content to academic advisors;
+ Aggregate report contents on the status of academic advising activities and feedback regarding academic advising operations from faculties, institutes, and centers to submit to the Board of Management for review and direction;
+ Organize review programs and propose rewards for academic advising activities by semester and academic year.
– Support the operations of Alumni Clubs:
+ Participate in the Alumni Association and serve as the standing secretariat for the University-level Alumni Liaison Committee; coordinate with Alumni Clubs of faculties and institutes to organize activities and programs related to alumni;
+ Aggregate report contents on the operational status and feedback regarding Alumni Club activities from faculties, institutes, and centers to submit to the Board of Management for review and direction;
+ Organize overview, gathering, and networking programs for alumni at the University level, and propose rewards for alumni activities by semester (academic year).
– Support the operations of Academic Clubs:
+ Coordinate the organization of activities, programs, and academic competitions for students under the academic clubs directly managed by faculties and institutes;
+ Aggregate report contents on the operational status and feedback regarding academic club activities from faculties, institutes, and centers to submit to the Board of Management for review and direction;
+ Organize review, gathering, and networking programs for academic clubs, and propose rewards for academic activities by semester (academic year).

g) Perform other tasks assigned by the Board of Management.
